Important boundaries

A maintenance-free planning model

This calculator uses only your figures. It has no government rates, leave entitlements, tax rules, mandated reserve level, API, database or external data feed.

Model assumptions
  • Each downtime entry is a working day on which the entered day rate is not billed.
  • Expense reserve timing uses a visible 260-workday year, equal to 21.67 average workdays per month.
  • Personal expenses, business overhead and existing cash reserve are amounts entered by you.
  • The result is arithmetic—not legal, tax, financial, employment or emergency-fund advice.

Cash-flow assumptions

Your figures stay in this browser. The calculation runs locally and no day rate, expense, downtime or reserve amount is submitted to Utilaroo.

Transparent arithmetic

Separate lost billing capacity from cash you may need

Multiplying downtime days by a day rate shows potential contract revenue that is not billed. It does not show the cash required to keep paying expenses. The reserve model therefore uses only your monthly personal expenses and business overhead across the equivalent downtime period.

What the result cannot tell you

Utilaroo cannot predict when a contract will end, how long a future gap will last, your legal entitlements, or the right reserve for your circumstances. Change the inputs to test scenarios and obtain appropriate professional input for real financial decisions.

Questions answered

Leave and contract gap calculator FAQ

Is revenue not billed the amount I need in savings?

No. Revenue not billed measures potential gross contract revenue. The separate reserve scenario uses only the personal and business expenses you enter.

Does Utilaroo recommend the displayed reserve?

No. It is a user-modelled scenario, not a recommended emergency fund or mandated reserve level.

Does this know Australian public-holiday or leave rules?

No. Enter the downtime days relevant to your own scenario. The tool contains no holiday database, employment entitlement rules or jurisdictional feed.

Does this predict my next contract gap?

No. Expected gap days are an assumption you enter. Test more than one scenario because the duration cannot be predicted.

Are my financial figures uploaded?

No. The calculation runs locally in your browser and does not submit the figures to Utilaroo.

Method, example and limitations

Understand the result before using it

Estimate revenue not billed during downtime, then separately model an expense reserve. The tool does not predict gaps, calculate entitlements or prescribe an emergency fund.

01 · Calculation method

What the tool does

Revenue not billed is day rate multiplied by downtime. The reserve converts days to months using a visible 260-workday year, applies monthly expenses, then compares existing cash.

02 · Worked example

$900 day rate and 55 non-billable days

  1. Twenty leave days, ten holidays, five admin days and a twenty-day gap total 55 days.
  2. At $900 per day, revenue not billed is $49,500.
  3. $7,000 monthly expenses produce a separate reserve scenario of about $17,769.

How to read it: The earnings effect and expense reserve answer different questions. Do not add them together or treat the reserve as recommended.

Assumptions used
  • Downtime entries are non-billable working days.
  • The month conversion uses a 260-workday year.
  • Rates exclude GST where applicable; expenses come from the user.
Common mistakes to avoid
  • Treating unbilled revenue as required cash.
  • Entering an irrelevant holiday or gap count.
  • Presenting the reserve as advice or a guarantee.
